A financial advisory firm was managing all deals in a static spreadsheet, which was prone to errors and inconsistencies.
Certain fields weren’t required, leading to incomplete data, and the team had no clear visibility into which marketing channels—such as advertising, events, or referrals—were driving deals.
Without real-time reporting, the firm couldn’t make informed decisions about marketing ROI or team performance.
Solution
I implemented a full HubSpot CRM solution for deal tracking and reporting.
Key elements of the project included:
- Requirements Gathering: Analyzed the existing spreadsheet to identify all necessary deal information.
- Property Mapping & Customization: Mapped spreadsheet fields to existing HubSpot properties or created custom properties to capture critical data.
- Pipeline & Lifecycle Design: Developed structured deal stages and lifecycle stages for tracking deals, including visibility into individual rep activity.
- Source Tracking: Built a system to capture lead sources, including advertising, events, and referrals, allowing the firm to track ROI for campaigns and initiatives.
- Reporting Dashboards: Configured dashboards for a holistic view of contacts, deals, and marketing channel performance.
- Training & Adoption: Educated the project sponsor on lifecycle stages, deal updates, and property management. Conducted ongoing check-ins to support the team in adopting the new system.
This implementation leveraged multiple HubSpot features: Deal stages, custom Deal Properties, lifecycle integration, automated workflows, and reporting dashboards.

Prior to this project, the firm used HubSpot largely for email marketing. With the new deal tracking system:
